Service · Delivery · Arrangements

A clear process from booking to completion.

This Service Delivery Policy explains how ARCTIC DPM LIMITED arranges and delivers its face-to-face management consultancy services, including confirmation, scheduling, consultation delivery and follow-up materials.

01 / Purpose

Practical consultancy, delivered in a defined format.

ARCTIC DPM LIMITED provides structured management consultancy sessions designed around practical operational and organisational improvement. Each service has a defined duration, scope and method of delivery so that the expected process is clear before a consultation takes place.

The services available through the website are consultancy sessions rather than physical goods or retail products. Delivery takes place through a scheduled face-to-face consultation.

03 / DELIVERY METHOD

Face-to-face consultation.

The services described on this website are delivered through scheduled face-to-face consultancy sessions.

The agreed meeting arrangement, location and scheduled time will be communicated before the consultation takes place. The consultation is delivered directly by ARCTIC DPM LIMITED or by an appropriately arranged consultant working on behalf of the business.

The service is considered delivered when the agreed consultation has taken place for the scheduled service duration, subject to the specific scope and arrangements confirmed for that service.

The consultancy provides practical discussion, structured review and recommendations within the scope of the selected service. It does not represent an unlimited advisory arrangement.

04 / PROCESS

How the service is arranged.

The standard delivery process consists of three straightforward stages.

STEP 01
Request & Review

The requested service and the information supplied with the enquiry are reviewed to establish the appropriate consultation arrangement.

STEP 02
Confirmation

The proposed consultation arrangement and available appointment details are confirmed by email.

STEP 03
Consultation

The agreed face-to-face session takes place at the confirmed date, time and location.

Appointment arrangements will normally be confirmed within 2 working days of receiving the relevant request and required information. Where additional clarification is needed, confirmation may take longer.
05 / WHAT YOU RECEIVE

The outcome of each consultation.

The precise output depends on the service selected and the matters discussed during the consultation.

Consultation Discussion Direct, structured discussion focused on the agreed management or operational topic.
Practical Recommendations Clear observations and practical recommendations relevant to the issues considered during the session.
Consultation Notes Notes may be prepared where appropriate to record key discussion points and agreed actions.
Written Summary Where included within the selected service, a concise written summary may be provided after the consultation.
Action Points Relevant next steps may be identified and documented where the nature of the consultation supports this.
Digital Document Where a document is part of the agreed service scope, it may be supplied electronically following the session.
06 / FOLLOW-UP

Follow-up materials.

If the selected service includes written follow-up material, it will normally be prepared and sent within 3 working days after the completed consultation.

Follow-up documents are intended to reflect the matters discussed during the consultation. They do not automatically include additional consultancy work outside the agreed service.

If further work is requested after the original consultation, the additional work will be discussed separately and will not be assumed to form part of the completed session.

07 / APPOINTMENT CHANGES

Changing a scheduled consultation.

If you need to change the agreed consultation date or time, please contact ARCTIC DPM LIMITED as soon as possible.

Requests to change or cancel a scheduled consultation should normally be received at least 24 hours before the agreed appointment time.

A suitable alternative appointment may be offered where reasonable availability exists. An alternative appointment is not guaranteed to be available at the originally requested time or on the same day.

Requests received less than 24 hours before the appointment may be subject to the applicable Service Cancellation Policy and the specific circumstances of the booking.

08 / LATE ARRIVAL

If you arrive late.

The scheduled consultation begins at the agreed appointment time. If you arrive late, the consultation will normally still finish at the originally scheduled end time.

This means that a late arrival may reduce the amount of consultation time available.

Where circumstances outside your reasonable control cause a significant delay, please contact us as soon as possible so that the appointment can be considered on an individual basis.

09 / CONSULTATION SCOPE

What the service does — and does not — include.

Each consultation is limited to the service description and duration stated for that service.

The sessions are designed to provide practical management discussion, structured review and recommendations. They do not automatically include ongoing management, unrestricted implementation work, legal advice, accounting advice, regulated professional advice or specialist technical services.

Where a matter falls outside the agreed scope, this will be explained during the consultation where reasonably possible.

10 / SERVICE COMPLETION

When is a service complete?

A face-to-face consultation is normally considered complete once the agreed session has been delivered for the applicable duration and the matters reasonably falling within the agreed scope have been discussed.

Where written follow-up is expressly included, the service is complete when the agreed follow-up material has been supplied, subject to any reasonable administrative delay.

Completion of a consultation does not guarantee a particular business outcome. Recommendations are intended to support practical decision-making and should be considered in the context of the customer’s own organisation and circumstances.
